You can provide options for assignees to choose from, then customize the workflow based on their response. For example, you could ask assignees to choose where a document should be sent next, then activate another workflow based on the option they select. In the following example, assignees are given the options “Send to Marketing” and “Send to Legal”. A new workflow is activated based on the assignee’s choice.

 

You can also use options to gather information. For example, you could provide assignees with options to approve or reject an item.

  1. To add an option:
    1. Click Options, then click +.
    2. Enter the following information.

Label  Enter a name for the option.

Go To  Select what happens next in the workflow if the assignee chooses this option. You can choose to go to the next or previous task, go to a specific task, restart the workflow, end the workflow, or end the workflow and also end all workflows that have been called by this workflow.

Advanced  Add conditions to enable or disable the option based on different criteria. For example, let’s say you’ve created the options “Approve”, “Reject”, and “Send for Rereview” for a task where the assignee will be reviewing a document. If you don’t want to allow the assignee to reject a specific type of document, you could use a condition to disable the “Reject” option if the document type attribute is set to a specific value. Enter conditions using SpEL (Spring Expression Language) syntax.

  1. Click Create.
  1. To edit an option, hover over it and click .
  2. To delete an option, hover over it and click . Click Yes to confirm.

Note  Once a task has been completed, you can use a report to view the options chosen by assignees (add a “Specific Task Fields > Assignee Options” column to the report). To view the options chosen by assignees when a workflow is in progress, click  in the Workflow area when viewing the file to open the Workflow Editor. In the workflow tasks, a checkbox is shown beside assignees who have selected an option. Hover over the checkbox to see their selection. For example:
