You can activate a workflow on a file or folder. A workflow contains a series of tasks that are assigned to users and/or teams. 

Once a workflow is activated, the users or teams can complete the workflow tasks. If a task is assigned to a team, any user who belongs to the team can complete the task. In this case, the task will be recorded as completed by the team. The task can also be claimed and completed by a user in the team. In this case, the task will be recorded as completed by the user, not the team.

Users will receive a notification when a workflow task that is assigned to them becomes active, meaning it is the next task to be completed. If a workflow task is assigned to a team, all team members will receive a notification for the task.

Notes

  • Workflows can be activated by an event. For example, a workflow can be activated when a file is uploaded to a specific folder. A workflow can also be activated as part of another workflow.
  • A file or folder can have multiple active workflows.


To activate a workflow on a file or folder.

  1. Open a file or folder.

In the Files list, select the checkbox beside a file or folder.

  2. In the Workflows panel, select the workflow you want to activate.

 3. Select the time the workflow will be activated. You can activate the workflow immediately, in one day, or in one week.

4. Click Activate.The first task is shown in the Workflows panel.

The following task information is shown:

  • task name
  • workflow name
  • task due date (date and time)
  • task progress bar
  • number of days remaining to complete the task
  • user(s) and/or team(s) assigned to the task
