The Onboarding Helper widget is a solution which allows administrators to quickly import Folders, Workflows, and answer forms in bulk using a template .xlsm file.

Adding the Widget to your dashboard


To start, Navigate to your Dashboard. Click the "Add Widget" button and add the "Onboarding Helper" widget to your dashboard. This widget can be found under the "Widget Helpers" category.




Configure the widget settings


1. Workflow: 

Select the Workflow you would like to run.


2. Form: 

Select the Form you would like to be automatically filed in. The selected form should belong to at least one of the tasks in your selected workflow.


3. Folder path:

Enter the path to the folder where you would like to execute the onboarding procedure


Submit form (if applicable)

If checked, the selected form will be submitted once it is filled in, if applicable.


5. (Advanced) Specify an expression to name each created folder (Optional)

This expression will be used to determine the name of the newly created folders. If this is not specified, then your on-boarding template file must include a "Title" column with a title for each entry being onboarded



Next, click "Done".


If you need to re-configure these settings, click on the ellipses menu > and click "Settings"

 


Download the form template


Below is an example of the main page of the widget:


  1. To Download a blank template of your chosen form, click the "Download Template (Blank)" button
  2. Open the downloaded .xlsm file in Microsoft Excel
  3. For every form you wish to bulk onboard, create a row in the .xlsm file and answer the questions in their respective columns. The "Form" column may be left blank.
  4. Save the template file.


*Note that if you did not specify a Folder Title expression, then add a column named "Title". This will determine the name of every newly created folder. 


Upload a Template


  1. To upload a filled-in .xlsm template file, click the "Upload Template" button on the main page of the widget
  2. Wait for the upload process to complete. This may take some time, depending on how many items are being onboarded 
  3. Once complete, you can view the onboarded items on the main page of the widget, along with other past onboarded batches. 
  4. Click on the row to view a list each individual project which was created. Here you can view information about the onboarding batch, and download the filled-in template which was used. From the list below, you can click to navigate to the newly onboarded projects. The form data in their respective forms will reflect the data entered in the template file. 



Now you have successfully used the Onboarding Helper widget to create folders, start workflow, and fill out forms in bulk.
